Event Management Tools

Events held in public spaces must be booked and approved by Waitakere City Council. If you are considering holding an event in any of the public spaces defined below, then you must book your activity - by phoning our Customer Services Bookings Team.

Applications for events must be received at least 8 weeks prior to the proposed date of the event. 

Applications for major events are to be received at least six months prior to the event.

What is an Event?

The following are considered "events":

  • Any gathering of people in a public place
  • Activities such as large picnics, festivals, carnivals, sporting tournaments, market days, exhibitions, rallies
  • Street Parades
  • Beach bookings – including weddings and funerals
  • Activities which are advertised to the public
  • Activities which may result in damage to the park
  • Activities on sportsfields which differ from the intended use of the field
  • Where structures and/or tents or additional posts etc are to be erected
  • Where vehicles need access to the park

 

What is Public Space?

  • Parks and reserves (including sportsfields)
    A booking gives the user priority use of the park for their event.
  • "Passive" reserves - public green spaces. Eg, suburban street green spaces, reserves by beaches, etc.
  • Beaches – use of a beach for activities or any event which is advertised to the public must be booked.
    • All Piha events must be notified – limited to 2 per month
  • Skate parks – are generally available for all to use, but can be booked for an event where members of the public can participate.
  • Public Carparks – approval must be obtained from Waitakere City Council for partial or full closure of a public carpark.
  • Road Closure – road closure approval must be obtained from Waitakere City Council and NZ Police, and be managed by professional traffic management services.

Booking Confirmation

Upon receipt of all the required event application documentation, the proposed event will be assessed and event organisers will be advised if the booking has been approved, and of the bond requirements (if applicable) and special conditions.

 

 

Fees and Bonds

 

  • An inspection fee of $225 is payable on all park hires in Waitakere City.
  • Bonds are generally required for all events. Bonds are charged at a minimum of $300, dependent on the possible damage that may be made to the park, and the estimated cost of repair. Bonds must be paid in full at least 7 days prior to an event.
  • A $50 key bond is required upon collection – from the Civic Reception (key will not be handed over without the signed form and Personal ID being sighted by Reception staff).

Weddings and funerals

Weddings and funerals can be booked at any park, beach or reserve. An event application form must be filled out.

The following criteria needs to be met:

  • the wedding/funeral service only is held on the beach (the reception/wake must be held elsewhere)

NB: A Health & Safety Plan and proof of Public Liability Insurance is not required (as stated in the application form).
