Method of Payment
Payment must be made at the main reception and at the
time of enrolment. Payment can be made by cash, eftpos,
credit card or cheque with identification.
Programme, trip brief
and enrolment form
West Wave Holiday Programme, activities and trips operate under policies and
guidelines set and approved by CYFS, OSCAR, West Wave
Aquatic & Recreation Centre and Waitakere City Council. Pre-enrolment and
payment is essential as the programme and day trips can book out quickly.
All activities have strictly limited numbers. This is to ensure a safe and
enjoyable experience for all involved. It is essential for safety reasons
that parents or guardians initial the sign in and out sheet. Only people named
on the enrolment form will be able to sign children out of
the programme unless prior arrangements have been made (ID may be asked for).
Please ensure that your child/ren do not sign themselves in or out of the
programme unless prior permission has been given by a programme leader.

What to Bring: Children attending the programme need to bring
their morning tea, lunch and afternoon tea each day. We recommend additional
snacks if enrolled in After Care. Children should also bring their togs &
towel daily
for programme activities as small groups may go swimming at West Wave during the
day. Please ensure all your children's
clothing, bags and items are clearly labelled, as the programme accepts no
liability for lost or stolen items. Children are not to bring items of value
including electronics, Gameboys, Gaming Cards or toys. Cell phones or cameras are
also not allowed unless they are permitted by parents/caregivers, it is to be
held at the Recreation Office at the child and parents own risk. No camera
phones will be permitted.
Trips: Depart the centre between 9 - 9.30 am & return by 3 pm,
check-in is at 9 am (unless otherwise stated). Participants will travel by
bus/van/car/ foot to trip venues. Make sure that the
enrolment
form is signed so that your child/ren do not miss out.
All trips strive for a supervisor/child ratio of between 1: 8-1: 15. (This
depends on age/activity).
Remember your lunch/drink, raincoat, sunblock, shoes, sun hat and warm clothes.
All activities and trips are subject to change without notice. We will endeavour
to give as much notice as possible however this is not always possible.

Refund and
cancellation information
There are no refunds or credits of payments for
enrolments unless the following cancellation notice periods
and procedures have been followed:
| More than 7 days notice prior to
the start of the programme or a doctor's medical certificate. |
Full refund or a programme
voucher to the same value |
| Within 5 - 7 days notice prior
to the start of the programme, or a doctor's medical certificate. |
75% refund of enrolment fee or a
programme credit voucher to the full value of
the enrolment |
| Within 3 - 5 days notice prior
to the start of the programme. |
50% refund of enrolment fee
or a programme credit voucher to 75% value. |
| 2 full working days notice prior to
the start of the programme with a doctors certificate or special circumstances. |
50% enrolment fee will be
issued for the period stated. |
| Less than 2 days notice
prior to the start of the programme ie the day before or
on the day. |
No refund of enrolment fee or programme voucher |
| No
transferring, swapping or substituting of booked dates
or children is allowed. |
How to cancel your booking:
- Contact the Recreation Officers or Programmes Supervisors.
- Request in writing to be delivered or fax (09) 838
3709, addressed to Programme Supervisor.
- Cancellation will not be effective until Programme Staff have given confirmation.
Refunds will be issued as a Council cheque and you should receive it within
ten working days after confirmation of cancellation.
Programme credit vouchers will be issued with an expiry date of the next holiday
period.
No cash refunds can be given.
WINZ OSCAR Subsidy
If applying for WINZ OSCAR Subsidy you are required to
pay in full prior to the start of the programme and the
applicant will be reimbursed the difference when the subsidy
is approved in writing by WINZ or payment is received, in
some instances this can be after the programme has finished.
* Please note OSCAR Subsidy applications forms can only
be completed by Recreation Centre staff once an enrolment
has been made with payment, and between the hours of
9am-5.30pm Monday to Friday excluding the Recreation Centre
office Christmas & New Year closed dates.
