Booking, Payment, Rental

  • When making a booking, hirers must specify the facilities required, state the purpose for which they will be used, and agree to comply with all the conditions of hire. The hirer shall furnish a permanent address and phone number to which communications will be sent.
  • Premises are generally available for hire during the periods of 8 am – midnight everyday. An extension of 2 hours (i.e. till 1 am) will be granted for socials/functions for the purpose of cleaning. The social or function must however finish at midnight.
  • All payments for casual hire must be made in advance. Casual hirers will be required to pay a deposit to confirm the booking (which will be a part of the total hire charge) and is to be paid within ten days of placing the booking – minimum of $50 which is non-refundable.
  • Additional Security and estimated cleaning charges should be paid seven working days prior to the function, along with a bond and the balance of hire charge. Unless an arrangement is made with Centre Co-ordinator, failure to pre-pay Security and Cleaning charges will result in these charges being automatically deducted from the bond payment.
  • The period of hire will be the total time the premises are required by the hirer for:
    1. Preparation
    2. The function
    3. Dismantling and removing equipment and tidying up afterwards
  • The Centre Hire Co-ordinator may at his/her discretion, refuse any application to rent and may cancel any booking without assigning any reason therefore. In every such case any rent paid by the hirer shall be refunded (normally within 10 working days.
  • Sub-letting is absolutely prohibited, except with prior permission of Council.

 

Cancellation of Booking and Refund of Deposit

A hirer may cancel a booking and receive a full refund of deposit, less the non-refundable booking fee, provided that a minimum of one month's notice (28 days) of cancellation has been given and that the reason is deemed sufficient.

 

Long Term Bookings

  • Annual Bookings
    Annual bookings will be subject to a provision that the premises are to be made available for other users at such times and under such conditions as the Council may direct.
    Applications for annual bookings will be called for towards the end of each calendar year, and should be submitted at the end of year User Group meeting. All applications will be approved/not approved by the Aquatic and Recreation Centre Manager. No bond is required for annual bookings. Annual bookings will not normally be accepted for Saturday evenings
  • Lease
    Leases are provided for a restricted number of long-term hirers. The terms and conditions of hireage are provided in each lease document.
  • Council Noticeboard
    Notices approved by the Centre Co-ordinator may be displayed on the noticeboards provided by Council.
  • Others
    A restricted number of long term hireage arrangements are covered by letter detailing terms and conditions agreed to and signed by both parties.

 

Restrictions on Use of Building

  • Decorations etc
    Under no circumstances must decoration, scenery, etc be attached to or hung from wall, ceilings, floors, curtains or any part of the building, except where permanent hooks or supports for this purpose have been provided by Council. 
    Only approved marking tape is to be used on the floor surface. This is a product manufactured by Sellotape, (code 7503 cellotape).

  • Notices
    Clubs and organisations may use their own portable notice boards during the period of hire but must store them at other times.

  • Rooms
    Hirers must confine their activities to the actual room(s) and facilities hired.
    Please note the Gymnastics Club (Floor A) is strictly out of bounds for unsupervised activity unless prior arrangement has been made with Gym Club or Centre Co-ordinator.

  • Confetti
    The use of confetti on the premises or surroundings is prohibited. The use of any preparation or powder on the floor is not allowed unless permission is first obtained from the Centre Co-ordinator.

  • Removal of Chattels from Premises
    Any hirer of the premises, or part thereof, not removing all his goods, chattels and effects therefrom, and giving up possession thereof by the appointed time will be liable for such further rent as provided in the Schedule of Charges. Items for cartage must be stacked in the designated areas and removed at the earliest opportunity.

 

Intoxicating Liquor

The provisions of the Sale of Liquor Act 1989 must be complied with.
Any event held in a Council owned facility where alcohol is sold, included in the charge of the ticket, or used for any profit-making venture requires a Special Licence issued pursuant to Section 73 of the Act.

The Special Licence Application Forms can also be obtained from Recreation Centre Staff and must be forwarded on to the Sale of Liquor Officer no later than 21 days before the proposed event.  More information is available on the Sale of Liquor Act and liquor licensing.

All cans, bottles and other containers shall be removed from the premises immediately after the function ceases.

 

Furniture

Chairs, tables etc must be returned to previous positions and others are to be neatly and carefully stacked in the storerooms provided. Pianos, where provided, must also be moved. If hire furniture is brought in, please discuss this with Centre staff who will advised where furniture is to be left awaiting collection after the event.

We have approx 25 - 30 tables and 240 chairs
