Guidelines for Waitakere Events
Waitakere City Council is promoting best practice for waste
minimisation and recycling at Waitakere events. Zero Waste
is a community outcome and one of the councils nine
strategic platforms, the 2020 Vision is to “produce a clean
and attractive City that turns all its waste into resources”.
Cleaner Production have developed the following resources as
a guide to waste minimisation and events recycling in the
city.
Getting started
In a nutshell - Keeping it simple is the key!!
Below are the basic steps – please read these few steps
first – the rest of the information provided below is to
make it happen!
- Have an idea or estimate the number of people likely to
attend your event
- Have a site map – this helps to identify your bin
positions (if you are holding a large scale event this will
help your contractors)
- If the event is large – anything over 500 people
attending - contact the contractors recommended by Waitakere
City Council on the Waste Minimisation and Recycling Plan
(WMRP) (you may not need contractors
for your event if it is a small one – refer to
WMRP for your
options). The contractors will be able to give professional
advice and deliver event recycling services – it would be
worth getting quotes from at least 3 companies. Work through
the Waste Minimisation and Recycling Plan with the
contractors to confirm how things will work.
- Inform your vendors that you are having recycling –
provide them the Vendor Information Sheet for Event
Recycling – to be placed
in their vendors contract. This is an example of what
you can provide to the vendors and can be altered
depending on the type of event. You might also
consider the stall holders pay a bond promising to only
use recyclable products like potato plates and cutlery
and corn starch cups. If they fail, the bond is
withheld.
- Fill out and complete your own WMRP to ensure you have
covered everything for the event.
- Consider having announcements at the actual event some
things you might consider for this can be found on the
Event
Recycling Messages to the Public.
- Have a great event!! See how much you have diverted from
landfill afterwards.
The following are some issues to consider:
Prevention rather than cure
- Plan to recycle from the start. Refer to
WMRP and example WMMP.
- Educate vendors about the events recycling and stipulate
what type of containers they should use -refer to
WMMP for what is recyclable and
provide the Vendors Page
- Meet with ground crew to explain recycling process.
Work with the recyclers & waste collectors
- Ask the recyclers for advice, as they will have a good
idea on the quantity of bins required and where to locate
them.
- Have them use the
national recycling symbols
– labels for bins can also be borrowed from
Waitakere City Council.
- Ensure that the recyclers and waste collectors have access
to the venue for delivery and collection of the bins.
- Ask whether recyclables can be co-mingled or must be
separated.
- Ensure recycling bins are the same size and quantity as
waste to landfill bins
Location of recycling centres.
- Make sure they are located near high traffic areas,
including venue exits.
- Plan for what will happen when bins are full and need
changing.
- Place bins in pairs around the site, one for recycling and
one for waste at all locations.
Education is essential
- Event recycling is new to Waitakere City venues so
spectators will not be expecting it.
- Signage at entrances ‘Please recycle’ with picture/symbols
will inform spectators on the process.
- Arrange for recycling educators to monitor and
remove potential contamination, and educate spectators
on how to use recycling facilities.
- It is important for event organisers to consider how
they can persuade the public to participate in recycling
at the event. One method to persuade and inform the
public is through the public address system or via the
host or the Master of Ceremonies (MC) for the event –

Vendor Information for Event Recycling
Suppliers and vendors play an important role in event
recycling. Your cooperation in supporting our events
recycling would be appreciated.
Please consider the following in your preparation on the
day.
Vendors are asked to take their own waste away for
recycling or disposal.
Recycling and General Waste bins will be provided for
spectators only.
Recyclables include:
- Plastic 1&2 drink containers and milk bottles
- Aluminium cans
- Plastic 6 cups
- Glass bottles
- Tins
- Programmes/Posters/Newspapers/Magazines/Cardboard
Divertible or Compostible
General waste includes:
- Food waste
- Contaminated paper/ Paper towels
- Non-recyclable plastic or paper plates.
- Plastic bags
- Plastic plates, cups and cutlery
- Polystyrene and Wax paper cups
Plan to recycle from the start.
- Consider how your stall can avoid creating waste before
you go to the event.
- Avoid using non-recyclable containers for drinks.
Education is essential
- Event recycling is new to Waitakere City events.
- There will be signage to inform spectators about the event
recycling and these will be located at the entrances and
recycling bays.
- A4 signage will be made available to vendors to place near
serving areas to encourage recycling.

Event Recycling Messages to the Public
It is important for event organisers to consider how they
can persuade the public to participate in recycling at the
event.
One method to persuade and inform the public is through the
public address system or via the host or the Master of
Ceremonies (MC) for the event.
One of the following messages should be announced during
intervals.
Message A:
“Waitakere City is an Eco-City in action – please use the
recycling bins provided.
There are two bins in each location.
The first bin is for recyclables like plastic cups and
bottles, glass and cans – just like at home.
The second bin is for waste to go to landfill including food
waste, plastic bags and litter.”
Message B:
“We’re having a great day at this wonderful event. Let’s
make sure we look after the Waitakere Stadium by placing the
waste in the recycling and rubbish bins provided.”
Message C:
“Let’s remember to look after our environment by placing
waste in the recycling and waste bins provided.
The recycling bins have pictures of items that can be
recycled. This includes glass, plastic cups, bottles and
cans.
Remember your action today will look after tomorrow.”
Message D:
“Remember to look after this park as you would your own home
– please recycle or deposit your waste in the bins provided.
Help our city to be an Eco-City!”

Waste Minimisation and Recycling
Plan
The plan is a working template which
will enable a business or event organiser to create a
'snapshot' of their solid waste categories (reduced, reused,
recycled, hazardous or general waste) the quantities of
each, costs, source and responsibilities on and offsite
(contractor or service provider). The idea is to look where
there may be opportunities to improve practices and reduce
amounts going direct to landfill....with the added payoff of
environment and expenses saved.
